Logistics:  

The conference will be held August 31-September 2, 2005, at LaFonda Hotel (http://www.lafondasantafe.com/) in Santa Fe, New Mexico.

To guarantee the per diem rate, please make your reservation by the cut-off date of August 1, 2005 — there are cancellation penalties.

Hotel Reservations:

  • To make reservations please call 1 (800) 523-5002, #1. Please mention you are attending the Workshop on Large Scale Robust Optimization.
  • The per diem rate on Tuesday, August 30 and Wednesday, August 31 is $134; the per diem rate on Thursday, September 1 is $94.
  • Check in time is 3:00 pm and check out time is 12:00 noon.

The workshop will run from 8:00 am to 5:00 pm daily. A continental breakfast and lunch will be provided during the workshop. If you have any food restrictions, let us know prior to the workshop so we can work with the hotel staff to accommodate you. You are welcome to explore Santa Fe restaurants for dinner.

The closest major airport serving Santa Fe is the Albuquerque International Sunport (ABQ), approximately one hour from Santa Fe.

There are two shuttle services between the Albuquerque Sunport and Santa Fe that can take you to and from the airport; therefore there is no need to rent a car. Please call one week in advance to make your reservation.

Reimbursement:

Sandia will only reimburse Non-DOE attendees. If your expenses are being reimbursed by Sandia, you will receive a reimbursement voucher at the workshop. It is important that you submit your expense voucher as soon as possible after the workshop, and if possible prior to the end of the workshop. Deanna and Bernadette will be available to assist you in filling out the expense report. Those who are being reimbursed should be aware of the following important guidelines.

  • We will pay for your airfare, lodging, breakfast and lunch expenses. As we are near our fiscal year end, and funding is scarce, we are asking you to fund your own dinners and your car rental /shuttle expenses.
  • If you are doing anything other than a round-trip air ticket (such as a multi-leg trip), please contact Deanna or Bernadette before you make your reservations to discuss reimbursement policies.
  • If you are unsure whether or not Sandia is reimbursing you, please contact Deanna or Bernadette.

Non-DOE attendees please complete the top section of the No Fee Agreement, sign and date it in the space provided and return it by fax to (505) 284-4520.

If you are a foreign national, please fill out the Request for Foreign National Information form as quickly as possible, and return it by email to either Deanna or Bernadette. You are required to bring your passport, visa and all duration of lawful status documentation with you in order to participate in the workshop (I94W, DS2019, Resident Alien card, etc.).
